Meeting Notes

  1. Call meeting to order
    Meeting called to order at 8:35 a.m.
  2. Roll call
    Members present were: Sandy Leibfried, Darrel Haskins, David Kurth, Ron Haas, Tracy Fillback and Brent Straka. Administrator Simpson was also present.
  3. Review RFQ responses and select two for interviewing

    Initial discussion by the committee concluded that all five candidates submitting RFQ’s were qualified. A consensus was reached that Schmitz and Saterbak ranked number 4 and 5.

    Conversation focused on the remaining three.

    The discussion of issues for elaboration by the candidates during interviews included what style of approach they are going to use with individuals, how different approaches would be used for Lancaster versus non-Lancaster residents given the Music Boosters and the Grant County Museum involvement.

    Consensus that more interviews than indicated in the responses are needed. Probably 70-80 interviews are expected given all the groups involved. There was consensus that we would like the candidates to do a sample interview 5-7 minutes in length during their presentation.

    Motion by David Kurth, second by Sandy Leibfried to interview Tim Coffey and Boris Frank and to also interview Church Street if the principle project manager was a full time consultant. Motion passed.

  4. Schedule next meeting date
    Next meeting was tentatively scheduled for May 24, 2007 at 8:30 a.m. Lunch will be provided by the City.
  5. Other business
    Follow up for the City Administrator includes determining a better dollar estimate from Church Street and check into if project manager is a full time consultant, ask Boris Frank to elaborate on the questions in the RFP and ask all three candidates to provide budget numbers given the increased amount of interviews.
  6. Adjourn
    Meeting was adjourned at 9:30 a.m.
